Billing Frequently Asked Questions
How often do you bill insurance companies?
We bill insurance companies on a monthly basis, typically the first 2-3 days of each month, for all client sessions completed during the previous month. For example, all of September therapy sessions would be billed during the first 2-3 days of October.
When will I be charged for my sessions?
For clients with high deductibles, and for clients who are self-pay, your charges will process at the beginning of the month for the previous month’s services (e.g. all of December sessions will be charged at the beginning of January, etc.); For clients with copays and coinsurance, your charges will process at the end of the month for the previous month’s services (e.g. all of December sessions’ copays / coinsurance will be processed at the end of January / early February).
What happens if my credit card is declined?
If your card is declined, we will notify you via email or phone and request an updated payment method. Please ensure your payment information is up-to-date to avoid disruptions.
Will I receive a receipt for my payments?
Yes, you will receive an electronic receipt via email for each processed payment. Charges will appear as “Village Center for Holistic Therapy, P.C.” on your credit card statement.
What is the cancellation policy, and will I be charged for missed appointments?
Our cancellation policy requires 24-hour notice, or by Friday morning of the previous week if you have a Monday appointment. Missed appointments or late cancellations may incur a fee of $75, which will be charged to your credit card on file.
Does Village Therapy accept Health Savings Accounts (HSA) or Flexible Spending Accounts (FSA)?
Yes, we accept most HSA and FSA cards for therapy services. Please ensure your card is active and has sufficient funds.
Why does Village bill for services monthly instead of after each session?
Billing monthly allows us to ensure accuracy in that the amounts we charge match exactly the amounts due on the insurance remits.
What happens if my insurance doesn’t cover a session?
If your insurance denies a claim or does not cover a session, you will be responsible for the balance. Our billing team will notify you of any issues and discuss your payment options.
